Client Spotlight: Experience Vacation Rentals (Wildwood Crest, NJ)
This week we visited Experience Vacation Rentals (EVR) in Wildwood Crest to sit down with Ricky Ciotti, who manages day-to-day operations for their 25-person team.
EVR partnered with BusyKeys to implement a Lease Agreement Bot—a system that now creates and sends all guest contracts automatically. What used to be one of their most time-intensive, error-prone tasks is now handled start to finish by automation.
The Before: Manual, Fragmented, and Time-Intensive
Before BusyKeys, EVR’s leasing process looked like this:
Reservation received → lease created manually.
Guest emails sent to collect signatures, with follow-ups if no response.
Signed leases forwarded manually to property owners.
Tracking done in spreadsheets, leaving plenty of room for delays and mistakes.
As Ricky put it:
“This is a very time-consuming process… it deviated some of our focus from other areas of the business.”
The After: Focus + Efficiency
Today, contracts run themselves. The Lease Agreement Bot has freed Ricky’s team from the endless cycle of emails, signatures, and spreadsheets.
In Ricky’s words:
“It’s enabled us to focus on other important areas of our business.”
“The level of efficiency—from time to being prone to a lot less errors—has been remarkable.”
“I have much higher quality control and less time and stress involved.”
With contracts handled end-to-end, EVR’s staff reclaimed hours each week, reduced error risk, and improved consistency for both owners and guests.
Why It Matters: Stay Lean, Scale Faster
Ricky’s challenge will sound familiar to many business owners: his team was growing rapidly, as property count increased. That imbalance made scaling difficult—VA payroll costs were rising, and quality control was getting harder to manage at scale.
By automating leases, EVR flipped the script. Instead of throwing more staff at the problem, they invested in automation that saved money, reduced mistakes, and freed their team to focus on growth.
This isn’t just an EVR story—it’s a blueprint for any business. The administrative tasks that slow you down today—contracts, onboarding, customer service, scheduling—are exactly the ones AI bots can take off your plate tomorrow. Automation doesn’t just save time; it makes it possible to scale without scaling payroll.
As Ricky explained:
“It’s going to allow us to take on properties at a quicker rate, locally and beyond—something that would have been much more challenging if we were still enduring this process manually.”
And it’s not just about speed—it’s about quality at scale:
“This is the key while maintaining very high quality.”
What We Built (and What’s Next)
Live now:
Lease Agreement Bot that creates, sends, and tracks agreements end-to-end.
Consistent routing to owners and unified tracking (no more scattered spreadsheets).
Planned next:
Customer Service Bot to manage 24/7 guest communication—taking over constant back-and-forth while improving response times.
Onboarding flows/Listing agreements to streamline new property setup and reduce VA workload.
Additional automations for repetitive back-office work, cutting costs and increasing quality.
As Ricky summed it up:
“There’s a lot of potential—leases, customer service, communication, onboarding. We can provide better service and scale faster.”
A Different Approach to Growth
Ricky referenced a favorite line from James Clear:
“If you’re not seeing the results that you want, you’re better off trying different than trying harder.”
For EVR, different meant embracing automation.
And for other business owners, the takeaway is clear: if your team is buried in repetitive admin tasks, AI automation can give you back time, improve quality, and make scaling possible without scaling payroll.
